East Irondequoit CSD Manages Trips Effectively With Bushive

East Irondequoit Central School District in Rochester, New York, serves about 4,000 students across three districts, managing between 2,500 and 3,000 trips per year. Kathleen Callon, the district’s transportation coordinator, was looking for a better way to handle the massive volume of field trips and activities.

Before busHive, Callon managed trips using a handwritten book for tracking and MapQuest for directions. She also maintained an Access database to keep records organized. The manual system was time-consuming and prone to errors.

“I was spending way too much time on paperwork and not enough time actually coordinating trips,” Callon explains.

The district discovered busHive at the New York Association of Pupil Transportation Trade Show. busHive began as Easybus and has evolved into a comprehensive trip management platform designed specifically for school transportation needs.

After seeing a demonstration, Callon was impressed by how user-friendly the software appeared. The district decided to implement busHive to streamline their trip management process.

The implementation was surprisingly smooth. Training took only 15-30 minutes, and the intuitive interface meant that staff could quickly adapt to the new system. The mobile access feature was particularly valuable, allowing Callon to manage trips from anywhere.

“The training was so simple. Within half an hour, I knew exactly how to use it,” Callon says.

Since implementing busHive, East Irondequoit has seen significant improvements in efficiency. The automated features have eliminated much of the manual paperwork that previously consumed hours of Callon’s time. The system’s reporting capabilities have also made it easier to track trip costs and manage the transportation budget.

The state funding approval process has become much more streamlined with busHive’s detailed record-keeping and reporting features. The software automatically captures all the necessary information for compliance and reimbursement purposes.

“Everything is right there at my fingertips. I can pull up any trip information instantly, which makes reporting so much easier,” Callon notes.

The district has been particularly pleased with the cost-effectiveness of busHive. The software pays for itself through improved efficiency and better budget tracking capabilities.

“For what we’re paying, the time savings alone makes it worthwhile. But the improved organization and reporting capabilities are invaluable,” Callon concludes.

East Irondequoit’s success with busHive demonstrates how the right technology can transform transportation operations, even for districts managing thousands of trips annually. The combination of ease of use, comprehensive features, and cost-effectiveness has made busHive an essential tool for the district’s transportation team.
